Team size is only a rough proxy for the records a business creates. This calculator does not inspect your files or predict buyer demand. A business with no suitable buyer or licensable records may earn nothing, even when this tool displays a positive range.

The calculation

(Desk employees + non-desk employees × contribution %) × years of retained records × assumed rate

With the example inputs: (40 + 15 × 25%) × 8 = 350 employee-years. Multiplying by the hypothetical $500 and $2,000 rates gives $175,000–$700,000. A separate 20% refresh assumption adds $35,000–$140,000 over 24 months.

Data Mining Masters chose these defaults to demonstrate the math. They are not transaction benchmarks or Mode’s formula. Industry and location update the preparation notes; they do not apply an unsupported price premium. The model assumes broadly consistent staffing across the retained period. Fees, preparation costs and taxes are excluded.

Before you request an assessment

  1. Inventory one archive. Record systems, formats, dates and usable volume. A headcount alone is not a data sample.
  2. Check what you can license. Identify third-party content, confidentiality restrictions and personal or sensitive information requiring review.
  3. Ask for written terms. Confirm permitted uses, exclusivity, payment triggers and whether future updates are separately paid.
